Terms of Service
Effective date: October 25, 2026
These terms apply to your use of Docvani, a service for creating and hosting medical practice portfolio websites. By creating an account or purchasing a plan, you agree to these terms and acknowledge our Privacy Policy.
Accounts and your website
You must be an adult and authorized to represent the practice you publish. Keep your Google account secure and your account information accurate. Each plan covers one account and its portfolio website. You are responsible for activity on your account and for the accuracy, legality, and professional appropriateness of your content, including credentials, claims, testimonials, and translations.
Content and acceptable use
You retain ownership of your content and grant us permission to store, process, display, and distribute it as needed to operate your website. You must have the rights and any necessary consent for material you publish, especially patient information and images. Do not publish unlawful or misleading content, impersonate others, infringe rights, send spam, interfere with the service, or try to access another account. We may remove content or suspend accounts to address abuse, legal requirements, or security concerns.
Medical practice responsibilities
Docvani provides website software, not medical advice or healthcare. Appointment submissions are requests and are not confirmed bookings. The practice is responsible for responding, confirming availability, and providing care. The service is not an emergency contact method or an electronic medical record system. Practices must assess whether their use meets applicable professional and privacy obligations; no specific healthcare compliance certification is promised.
Pricing and launch offers
The standard price is $100 USD per year. Two shared introductory promo codes are available: one provides free access for life, limited to 10 accounts; the other locks the annual price at $69 USD for life, limited to 100 accounts. Redeem a valid code in Billing before claiming your plan. Each account may claim one plan, and introductory offers cannot be transferred. Once redeemed, the price remains locked for the lifetime of the account, including renewals and resubscription, regardless of code expiry or future price changes. Previously claimed launch prices remain protected and count toward the relevant limit. A redemption is not recycled if checkout is abandoned or the account is deleted. Your price is shown before payment.
Paid subscriptions renew automatically each year until cancelled. Applicable taxes are displayed at checkout. Custom domain registration is separate and is not included in the subscription. Free customers do not need to provide payment details.
Payments, cancellation, and refunds
Dodo Payments processes paid subscriptions and acts as merchant of record for those transactions. Its checkout terms also apply. Manage payment methods, invoices, and cancellation from Billing. Cancelling stops future renewals; access continues until the end of the paid period unless the account is suspended for a violation. Failed payments or an expired subscription may interrupt publication until billing is resolved.
Contact support to request a refund or report a billing error. Refund requests are reviewed individually with the payment provider; there is no automatic promise of a refund or a prorated refund for unused time. Any rights you have under applicable consumer law remain unaffected. Deleting your website does not by itself cancel your subscription; cancel through Billing before requesting account deletion.
Availability and changes
We aim to provide a reliable service but do not guarantee uninterrupted operation, email delivery, appointment delivery, search engine rankings, or any clinical or commercial outcome. Keep copies of important content and use another channel for urgent communications. We may maintain, update, or discontinue features, and will provide notice of material changes where practical. The confirmed free and $69 launch prices remain attached to eligible accounts while the service operates.
Ending use of the service
You can unpublish your website at any time and request account deletion through support. We may suspend or terminate service for violations, nonpayment, security threats, or legal requirements. Once access ends, your public website may become unavailable. Data handling is described in the Privacy Policy.
Liability and applicable rights
To the extent permitted by applicable law, the service is provided as available, without additional warranties, and we are not responsible for indirect losses, lost profits, or harm resulting from inaccurate practice content or a practice's handling of care and appointment requests. Nothing in these terms excludes liability or consumer rights that cannot legally be excluded. Applicable mandatory laws continue to apply.
Changes and contact
We may update these terms and will revise the effective date. Material changes will be communicated through the service where appropriate. Contact us with concerns before continuing to use the service after a material change.
