Docvani provides portfolio websites and appointment request tools for medical practices. This policy explains how information is used when you visit a Docvani website, manage an account, or submit an appointment request.
Information we collect
- Account information: When you sign in with Google, we receive your name, email address, Google account identifier, and profile image.
- Practice content: Profile details, contact information, credentials, publications, images, videos, testimonials, and other material you upload or publish.
- Appointment requests: Patient name, phone number, optional email, requested service, preferred date and time, and any message submitted to the practice.
- Billing information: Your assigned plan, subscription and customer identifiers, payment status, and billing period. Dodo Payments handles payment details on its checkout; Docvani does not store full card numbers or card security codes.
- Technical information: IP addresses, request information, and security records needed to run the service and prevent abuse. IP addresses are used with clinic identifiers for appointment rate limiting.
How we use information
We use information to authenticate accounts, host and publish websites, deliver appointment requests and email notifications, manage subscriptions, respond to support requests, and protect the service. Practice content you publish is publicly accessible and may be indexed by search engines.
Appointment requests and medical information
Requests are available to the practice receiving them. Docvani provides the technical service on the practice's behalf; the practice decides how to handle the request and any subsequent care. Contact the practice directly about your appointment or its use of your information. Submit only the information needed to arrange a visit; do not include medical records or sensitive clinical details in a request. This service is not for emergencies.
Who receives information
Our service providers include Cloudflare for hosting, database and file storage; Google for sign-in; Resend for transactional email; and Dodo Payments for checkout and subscription management. These providers process the information needed to perform their services under their own applicable terms and privacy policies. Linked or embedded third-party services, including videos, may receive technical information when you use them.
Authorized platform administrators may access information for support, security, and service operation. We may also disclose information when required by law or to protect people and the service. We do not sell personal information.
Cookies and local storage
We use authentication cookies to keep you signed in and storage or cookies for interface preferences such as language and appearance. Some dashboard interface settings may also be saved. Third-party sign-in and checkout services use their own cookies. You can control browser storage, although disabling essential cookies can prevent sign-in.
Retention and security
We retain account content and appointment requests while needed to provide the service, until deleted, or as necessary for legal, billing, fraud prevention, and dispute obligations. Security and backup records may take additional time to expire. We use access controls and other safeguards, but no online system can guarantee absolute security. Providers may process data in countries other than your own.
Your choices and requests
You can edit or unpublish your practice content through the dashboard. Contact us to request access, correction, export, or deletion of account information, or to raise a privacy concern. Patients should contact the receiving practice first about appointment information. Depending on your location, you may have additional privacy rights, including the right to complain to your local regulator. We may need to verify your identity before completing a request.
Children and policy changes
Practice accounts are intended for adults. A parent or guardian should arrange appointments for a child. We may update this policy as the service changes and will update the effective date; material changes will be communicated through the service where appropriate.
